Policies, Terms & Conditions
To make sure everyone has a safe and relaxing visit, please read through and agree to our terms, conditions, and policies ahead of your stay. Let us know if you have any questions or concerns!
Booking Policy
Identity Verification: A valid photo ID is required before check-in. The guest named on the reservation must be present for the entire stay. Third-party bookings are not permitted. We verify this at check-in, so please make sure the reservation name matches the guest staying in the unit.
Age: The person booking must be 21 or older and present for the entire stay.
Payments: All reservations are charged in full to the card on file 30 days before check-in (or at the time of booking for reservations made within 30 days of check-in). Payment failures within 30 days of check-in are subject to cancellation (we will email you for payment if anything is missing).
Door code: Please keep your door code private and don't share it with anyone outside your reservation.
Guest Capacity: To avoid excessive wear and keep noise levels respectful, we don’t allow extra guests beyond your cabin’s listed capacity. Any “day guests” or folks not associated with your reservation must be pre-approved.
Taxes & Fees: All reservations are subject to applicable state and local taxes as required by law, calculated at the time of booking. If applicable, pet fees will be calculated when added to your reservation, either at the time of booking or when modifications are made thereafter. All taxes and fees are non-refundable. Please see "Damages & Fees" for charges related to policy violations, property damage, or additional services.
Check-In & Check-Out
Check-in starts at 3 PM.
We'll email your custom door code the morning of arrival—no need to meet! If you plan to arrive late in the evening (10 PM or after), give us a heads-up so we can help coordinate a smooth arrival. Full payment must be received before check-in.
Check out by 10 AM.
To be fair to our cleaning team, unapproved late check-outs or units left in excessively poor condition will incur additional charges.
We typically can’t accommodate early check-ins or late check-outs, but let us know if you’d like to request one, and we’ll do our best.
Cancellations & Trip Modifications
Please carefully read our cancellation policy prior to booking. If you have any questions about these policies, please give us a call! To save any misunderstanding, we would be grateful if you can observe the following:
Refundable (Flexible) Rate Reservations:
We will collect a valid credit card at the time the reservation is made
Reservations can be cancelled or modified with no penalty or fee up until 72 hours before your check-in (3pm local time at the hotel, 3 days before your check-in date) at which time the reservation will be charged in full to the card on file
No modifications or refunds for cancellation will be permitted within 72 hours of your check-in time
Non-Refundable (Discounted) Rate Reservations:
Your credit card will be charged in full for the reservation 24 hours after booking
You may modify your dates, cabin or room, and other reservation details for a modified stay of equal or greater value, up until 60 days prior to your arrival date (rate difference to be paid at time of modification), valid at any of our locations, reservations made within 60 days of check-in may not be eligible for modification
The reservation is not otherwise eligible for modification or refund
No-shows are charged in full and non-refundable.
To cancel or request a modification to your stay: Please email us your cancellation request at info@snowcatcabins.com or call us at 406-558-4534. We'll confirm your cancellation via email after the reservation has been cancelled.
Travelers Insurance: Life happens, and trips to the mountains can be unpredictable. We highly recommend adding travelers’ insurance to your reservation if you book a non-refundable rate either through a third party booking site (like Expedia or Booking.com) or with Spot Trip Insurance if you are booking with us directly—it’s an easy and affordable way to cover up to 100% reimbursement on all of your trip expenditures for unexpected life events that result in cancellation (like illness, natural disasters, jury duty, job requirements, and more) Check out https://www.getspot.com/trip-affiliates/field-guide for full terms, conditions, exclusions, and details.
Damages & Fees
We know accidents happen! If something breaks or gets damaged during your stay, just let us know right away—we're here to help.
You're responsible for damages beyond normal wear and tear. We're a "Leave No Trace" kind of place, so we ask that you treat our cabins, grounds, and surrounding public lands with respect.
Damage and cleaning fees include:
Smoking inside the cabin or violating smoking policy: $300+
Cigarette butts or trash left on property: $50+
Biohazards (leftover bodily fluids, etc.): $100+ per occurrence
Excessive cleaning needs: Charged based on additional time required
Property damage: Assessed case-by-case based on repair/replacement costs and any lost rental income if the cabin becomes unrentable
Undisclosed/unapproved pets are subject to a $250 fee plus the standard pet fee
Hot tub repairs for spa damage or misuse (low water levels from water displacement, cigarette burns, foreign objects, temperature left too low, etc): Charges are based on the cost of labor, replacement, and any revenue lost for spa closure. Hot tub drain and clean from excessive dirtiness: $200+. Drain and clean from glass, biohazards, or dangerous foreign objects left behind: $750+
Smoking
All of our buildings are smoke-free, including the interiors, porches, and decks.
We tend to discourage smoking elsewhere on the grounds to respect our other guests, but if you would like to smoke, we ask that you keep it discreet, practice common courtesy, and strictly follow leave-no-trace ethics.
Please avoid smoking near other families, neighbors, or kids. The best place is down along the river, away from any other guests or common spaces in the area.
We’re in an extremely fire-prone area, so YOU MUST fully extinguish and dispose of butts and ashes in the dumpster off the main lot, and never let a butt touch the ground. Please see "Damages & Fees" for charges related to policy violations.
Room Policy
Quiet Hours: Quiet hours run from 10 PM to 8 AM. Please keep noise and music (indoor and outdoor) to a minimum inside and outside--noise travels fast around here!
Safe Kitchen & Cooking: Please practice safe cooking habits, do not leave burners on unattended, and avoid accidentally bumping oven/stove knobs. Please do not cook with strong-smelling ingredients.
Sinks, Drains & Plumbing:
Toilets: Flush only toilet paper and human waste, and discard everything else in the waste bin. We are on a delicate septic system.
Sinks & Drains: Graywater only. Please put food scraps in the trash, not down the drain.
Damage to the septic tank from tampons, trash, or other objects will be charged back to you.
Safety Equipment: Never tamper with, disable, or remove smoke alarms or carbon monoxide detectors. Fire extinguishers are for emergency use only—please don't test or discharge them unless there's an actual fire.
Safe Heater Use: Use caution around all heating sources. Don't place items (clothes, towels, gear) or body parts near radiant heaters, fireplaces, or woodstoves. Never leave space heaters running unattended.
Prohibited Items:
No fireworks
No recreational firearms or weapons
No illegal drugs and controlled substances
No Camping: As much as we love camping, our grounds unfortunately are not zoned as a private campground. Please do not tent or RV camp in the parking lot or elsewhere on the grounds.
No Events or Parties: To avoid excessive wear and tear and to keep noise levels respectful, we unfortunately don’t allow events at the property at this time. This includes weddings, photoshoots, reunions, house parties, etc. Let us know if you have a special circumstance or need venue recommendations in the area!
Valuables & Guest Items: We ask that guests not ship items to the property; we are not responsible for the packages or their contents or storage. Please do not leave valuables unattended.
Housekeeping: Your unit is all yours for the duration of your stay—no daily cleaning service. But if you need extra towels, fresh linens, or anything else, we're just a call or email away.
Hot Tubs
If you’re staying in a unit with a hot tub, please review that property’s hot tub policy before check-in.
Pets
Please review each property’s specific Pet Policy before check-in. See here for general pet policy.
Trash
Please secure the dumpster’s locking mechanism and secure your trash and food items to prevent wildlife break-ins. We are in a very active bear habitat; trash break-ins put both your life and the bear’s at risk. Our dumpster is located near the property entrance and parking area.
Fire Restrictions & Safety
Our region is extremely susceptible to wildfires. To prevent catastrophic wildfires, injury, property damage, and strain on our local fire department, carefully follow all fire safety rules, observe local alerts, and follow any fire restriction postings we have on our Trail Register (the board at the property entry):
Observe local fire bans before making a bonfire (and check with us if you’re unsure)
Properly control and extinguish bonfires: Drown your fire using a bucket of water, and stir/bury any embers to ensure it’s out.
No gasoline, additives, or trash in bonfires
Turn off grills after use
Never leave grills or fires unattended
Obtain fire permits for any bonfires created on the surrounding public lands
No fireworks on the grounds
Security Cameras:
For your safety, we have outdoor security cameras covering cabin entrances, driveways, and common spaces. We like to keep an eye on bear activity on trash days, hazardous elements, including fires, and other safety measures.
Camera footage is accessible only to property owners and authorized staff members. Recordings are automatically deleted after 30 days unless retained for legitimate business purposes including safety incidents, property damage, policy violations, or insurance claims. Cameras do not record interior spaces or audio.
Grounds & Environmental Safety
Our properties are in wild locations, and our grounds are rugged! Please be aware of these and other on-site hazards, and accept their risks before booking. Always exercise caution (especially if traveling with kids, pets, or folks with specific mobility needs) and supervise children and pets. Let us know if you have any concerns before or during your stay.

We’re in active habitat for bears, elk, mountain cats, and more. Please secure the bear-proof dumpster latch, secure your trash and food items, and give all wildlife plenty of space.
Release & Waiver of Liability
I, the undersigned (hereinafter the Guest) hereby irrevocably & unconditionally release & hold harmless from liability Field Guide, LLC its owners, agents, and other guests (all four groups hereinafter known as Releasees) from any & all liabilities, claims, actions, damages, costs, or expenses of any nature whatsoever whether in law or equity, known or unknown, occurring during, caused by, relating to, or arising in any way from my participation at Field Guide, LLC properties.
I understand that attending a facility in the country may involve participation in physical activities both indoors and outdoors, and certain exposure to wildlife. With these, and all related activities, there is a certain element of risk. By accepting this waiver, I hereby acknowledge that my participation is at my own risk, and that I assume all responsibilities for any and all aspects of participation by both myself and any children who might accompany me. This waiver applies to any and all activities participated in at Field Guide, LLC properties.
I understand that this Release from Liability irrevocably & unconditionally releases and holds harmless all Releasees from any financial or other liability for any injury, bodily harm, sickness, illness, or loss of life that I as a Guest or my family member or friend may suffer and from any economic harm or loss of property occurring during, caused by, relating to, or arising in any way out of staying at properties under Field Guide, LLC.
I, the undersigned, have read this Release from Liability & understand all of its terms; I have executed it voluntarily or opted-in, with full knowledge of its significance, & intend to be legally bound by it. Minors and pets here with me are my responsibility while at Field Guide, LLC properties. My signature and/or my required opt-in to agree with the terms and conditions for registering and participation at Field Guide, LLC properties includes them in coverage of this release form.
